Winter Session Residence Allocation Process Information

For current UBC students only

The deadline to apply is February 1, 2013.

A random selection process is used to make housing assignments for the coming winter session. Expanding enrolment, high demand for housing on campus, and a UBC commitment to expand the residence guarantee to new students entering from high school, require Student Housing and Hospitality Services to use a random selection process to assign accommodation to current students who wish to live in university housing for the following winter session (September - April).

We conduct the residence allocation process in February so that all participants will know their housing status for the 2013-2014 winter session no later than the end of February. Current students are able to apply by completing an application and submitting the $50 non-refundable residence application fee. A computer program will randomly select enough current students to fill the available spaces. A wait list is created from the applicants not selected. The deadline to apply is February 1, 2013.

Those selected for residence will have until March 1, 2013 to pay a $250 deposit to secure their accommodation. Those on the wait list will take the place of those who do not pay the deposit. If you choose to withdraw from residence, you must do this by May 1, 2013 in order to receive a full refund of your $250 deposit.

If you are selected through the residence allocation process, you will be able to request roommates from other residents also selected. You can identify your preferred roommates through an on-line process. You will be advised of your residence area when we send your Residence Contract in June. The first instalment of your residence fees is due upon its receipt.

In August, you will be notified of your room assignment. We will do our best to accommodate your assignment preferences (roommate(s), residence area, house/unit, room) but can not promise this will occur.

 

Year-round residence: a better alternative to the winter session residence allocation process (RAP)

To increase your chance of a residence space on campus, apply for year-round residence. Once you move into year-round residence you are eligible for a new contract each year until you finish your studies at UBC or choose to move out of residence.
Marine Drive (Buildings 1, 2, 4 and 6), Fraser Hall, Thunderbird, and the new Ponderosa Commons (opening September 2013) are year-round residences.
The year-round residence contract begins in May 2013 and continues to April 2014. (For 2013 only, the Ponderosa Commons residence contract will begin in September and continue to April 2014.) Current year-round residents wanting to stay another year are offered a space first. Remaining spaces are then offered to year-round applicants based on their date of application and the earliest date they're willing to accept occupancy.

If you meet the criteria for Fraser Hall, Marine Drive, Thunderbird and Ponderosa Commons residences (by December 31, 2013 you must be 19 years of age for shared 3-6 bedroom units; 20 years for studio, one- or shared two-bedroom units), and are interested in year-round housing, consider applying for these residences. If you apply at the same time, or within 14 days of your initial application, the non-refundable $50 residence application fee covers both winter session residence and year-round residence applications. If you are planning to be away during the summer months, you may apply to sublet your room to another UBC student during this time. Applying to sublet does not guarantee approval. FAQs

Growing enrolments, increasing demand for university housing, and expansion of UBC's guarantee to incoming first year students combine to create a situation in which not all of the current residents who wish to return to residence can be accommodated.

We believe this is the most reasonable and objective way to match supply and demand. Everyone has a compelling reason to live on campus; a random residence allocation process does not make judgments as to who is more worthy.

Virtually everyone. Students with disabilities, and some Aboriginal students are exempt, provided they submit their winter session residence application before February 1, 2013.

Apply on-line at www.housing.ubc.ca now. You have until February 1, 2013 to complete the application and submit payment of the application fee.

In addition to covering administrative costs, we find the fee encourages only those seriously interested in living in residence to apply.

By February 10, 2013. Both those selected and those who are waitlisted, will be notified by e-mail.

You will be automatically placed on a wait list based on your placement in the original random selection program. As places become available, they will be offered to those on the wait list.

You may request your current assignment, but we cannot guarantee you will be placed back into your current space.

Spaces are set aside in Totem Park and Place Vanier for incoming first year students, as are rooms with special accommodations for students with disabilities. The remaining winter session residence rooms are made available to those who applied through the Residence Allocation Process.

The following priorities will guide assignments:

  • Returning residents 19 years old are typically assigned to suite-style residence.
  • Those selected by the Residence Allocation Process can ask to live together, and we will do our best to accommodate those requests. However, each roommate's application must show the same rankings for residence area preferences.

We will do our best to accommodate residence requests (i.e. area, house, tower, unit, room), but will give priority to roommate requests.

If being away from campus during the 2013-2014 winter session is a possibility, you will still have to participate in the Residence Allocation Process. When your plans for next year are confirmed, please contact our Main Office in Marine Drive residence to provide your specific information.

No. The summer stay-through application is separate from the Residence Allocation Process. The outcome of it does not affect your chances when applying for summer residence in Fairview Crescent for May-August 2013.

We intend to keep you regularly informed over the summer as places in residence become available. We provide links to other housing options on our website, www.housing.ubc.ca/vancouver. Also check with your Residence Advisor. They may have more information and other referrals.

Students selected will be notified that they will have until March 1 to pay a deposit or they will lose their opportunity for a room on campus. Those not selected will be automatically placed on a wait list for winter session residence.

By March 1, 2013 students selected by the Residence Allocation Process will have paid a $250 deposit to confirm their intent to live in residence the following year. They will continue to have until May 1 to request (on-line) their preferred roommate(s) from other applicants selected or wait-listed by the Residence Allocation Process.

Roommate preference process continues until May 1.

Last day for residents to withdraw from the residence process and receive a full refund of their $250 deposit. As residents leave the residence process, the available spaces will be offered to those on the wait list.

Receipt of Residence Contract offer and notification of intended residence area assignment sent by e-mail. First installment of residence fees are due upon receipt.
