The winter session lottery process

A lottery selection process is used to make housing assignments for the coming winter session. Expanding enrolment, high demand for housing on campus, and a UBC commitment to expand the residence guarantee to new students entering from high school, require Student Housing and Hospitality Services to use a lottery selection process to assign accommodation to current students who wish to live in university housing for the following winter session (September - April).

We hold the residence lottery in February so that all participants will know their housing status for the 2012-2013 winter session no later than the end of February. Current students are able to apply by completing an application and submitting the $50 non-refundable residence application fee. A computer program will randomly select enough current students to fill the available spaces. A wait list is created from the lottery participants not selected.

Those selected for residence will have until March 1, 2012 to pay a $250 deposit to secure their accommodation. Those on the wait list will take the place of those who do not pay the deposit. If you choose to withdraw from housing, you must do this by May 1, 2012 in order to receive a full refund of your $250 deposit.

If you are selected through the residence lottery, you will be able to request roommates from other residents also selected. You can identify your preferred roommates through an on-line process. You will be advised of your residence area when we send your Residence Contract in June. The first instalment of your residence fees is due upon its receipt.

In August, you will be notified of your room assignment. We will do our best to accommodate your assignment preferences (roommate(s), residence area, house/unit, room) but can not promise this will occur.

 

Year-round residence: a better alternative to the winter session lottery

It is a simple matter of supply and demand; accepting occupancy at a time of lower demand significantly improves the likelihood of receiving a place in residence and, more importantly, provides an on-going housing opportunity without participation in the lottery process.

Student Housing and Hospitality Services offers year-round housing options in some residence areas.  To increase your chance of a residence space on campus, and avoid the winter session lottery process, apply for year-round residence.

Fraser Hall, Marine Drive (Buildings 1, 2, 4, 6) and Thunderbird and are year-round residences.  They are not assigned through the lottery.  Current year-round residents wanting to stay another year are offered spaces first.  Remaining spaces are then offered to year-round housing applicants, based on their date of application and the earliest date they're willing to accept occupancy.

For the best chance, when answering the online application question that asks "the earliest date that you will accept occupancy?", indicate the very earliest date you're willing to do so, remembering that the greatest demand is for
September 1 occupancy, but the greatest number of vacancies occur during the summer.

For example, if you apply for a four-person shared unit in a year-round residence, and you identify September 1 as the earliest date you will accept occupancy, there is a chance you will be offered a room for that date.  However, if you are willing to accept occupancy earlier (ie: May, June), you optimize your chances of having a room by September.  And once you move into year-round residence, you are eligible for a new contract offer each year until you finish your studies at UBC or choose to move out of residence.   You never have to depend on a winter session lottery outcome again.

Remember, you have a better chance of receiving a year-round space if you're willing to accept occupancy when the greatest number of rooms are available -- in May and June.

If you meet the criteria for Fraser Hall, Marine Drive and Thunderbird (19 years by December 31, 2012 for shared units; 20 years by December 31, 2012 for studio, one/two-bed units), and are interested in year-round housing and exemption from the winter session residence lottery - consider applying for these residences.  The $50 non-refundable residence application fee covers both the winter session lottery and year-round housing applications.

FAQs

Growing enrolments, increasing demand for university housing, and expansion of UBC's guarantee to entering first year students combine to create a situation where not all of the current residents who wish to return to residence can be accommodated.

We believe this is the most reasonable and objective way to match supply and demand. Everyone has a compelling reason to live on campus; the lottery does not make judgments as to who is more worthy.

Virtually everyone. Even residents applying to be residence advisors have to go through the lottery. Students with disabilities, and some Aboriginal students are exempt, provided they contact our office before February 1.

Apply on-line at www.housing.ubc.ca now. You have until February 1, 2012 to complete the application and submit payment of the application fee.

In addition to covering administrative costs, we find the fee encourages only those seriously interested in living in residence to apply.

By February 10, 2012. Both those selected by the lottery process, and those who are not, will be notified by e-mail.

You will be automatically placed on a wait list based on your placement in the original lottery selection program. As places become available, they will be offered to those on the wait list.

You may request your current assignment, but we cannot guarantee you will be placed back into your current space.

Spaces are set aside in Totem Park and Place Vanier for incoming first year students, as are rooms with special accommodations for students with disabilities. The remaining inventory (except for Acadia Park, Fraser Hall, Thunderbird and year-round Marine Drive units) is made available to lottery "winners".

The following priorities will guide assignments:

  • Returning residents 19 years old are typically assigned to Totem Park and Place Vanier. Residents 20 years old and older will usually be assigned to suite-style housing.
  • Residents currently living in suite-style housing will be assigned to suite-style residence.
  • Those selected in the lottery can ask to live together (maximum of 4), and we will do our best to accommodate those requests. However, each roommate's application must show the same rankings for residence area preferences.

We will do our best to accommodate residence requests (i.e. area, house, tower, unit, room), but will give priority to roommate requests.

If being away from campus during the 2012-2013 winter session is a possibility, you will still have to participate in the lottery. When your plans for next year are confirmed, please contact our main office in Marine Drive residence to provide your specific information.

No. The summer stay-through application is separate from the lottery process. The outcome of the lottery does not affect your chances when applying for summer residence in Fairview Crescent for May-August 2012.

We intend to keep you regularly informed over the summer as places in residence become available. We provide links to other housing options on our website, www.housing.ubc.ca/vancouver. Also check with your residence advisor. They may have more information and other referrals.

Lottery Schedule

December 2011 & January 2012
Current UBC students, including those away on exchange or co-op, will have from now to February 1, 2012 to go on-line at www.housing.ubc.ca and complete the lottery application and submit the $50 non-refundable residence application fee in order to participate in the lottery.
February 2012
A computer program will randomly select enough lottery participants to fill the available inventory for returning students. Students will be notified on-line of their status by February 10, 2012. Students selected will be notified that they will have until March 1 to pay a deposit or they will lose their opportunity for a room on campus. Those not selected will be automatically placed on a wait list for housing.
March 2012
By March 1, 2012 students selected in the lottery will have paid a $250 deposit to confirm their intent to live in residence the following year. They will continue to have until May 1 to request (on-line) their preferred roommate(s) from lottery participants.
April 2012
Roommate preference process continues until May 1.
May 1, 2012
Last day for residents to withdraw from housing process and receive a full refund of their $250 deposit. As residents leave the housing assignment process, the available spaces will be offered to those on the wait list.
May 1, 2012
Last day to identify or change roommate preference on-line.
June 2012
Receipt of Residence Contract offer and notification of intended residence area assignment sent by e-mail. First installment of residence fees are due upon receipt.
August 2012
Residents notified of specific room assignment and will be able to access their roommate(s) information on line, as per the current practice.
September 1, 2012
