Cancellation & Refund

Cancellation Prior to move-in date

Reservations for Early Arrival Residence will be charged to you unless cancelled by July 31, 2012 regardless of whether or not the room is occupied.
Your early arrival residence payment will be refunded only if you provide proof of non-acceptance to UBC .

Winter Session Residences are: Totem Park, Place Vanier, Ritsumeikan-UBC House, Walter Gage, Fairview Crescent, Marine Drive Residence (Bldg. 5)

Winter Session

To cancel the Contract prior to the Move-In Date noted on your Residence Acceptance Confirmation you are required to give written notice of cancellation online or to the Department of Student Housing and Hospitality Services, 2205 Lower Mall, Building 6 by the applicable dates outlined below. Residence fee refunds will be based on the refund and forfeiture policies outlined below.

  • The $50 residence application fee is non-refundable.
  • The $250 Lottery Selection deposit (if applicable) that has been applied to your account is not refundable after May 1, 2012.
  • From July 1, 2012 until August 31, 2012 residence cancellations will be subject to an additional $300 cancellation fee.
  • A refund of the $300 cancellation fee will only be considered if the following criteria are met. Evidence acceptable to the Department of Student Housing and Hospitality Services must be provided with your written notice of cancellation and must be received at the Department of Student Housing and Hospitality Services, 2205 Lower Mall, Marine Drive Building 6, Vancouver BC, V6T 1Z4 by September 1, 2012 demonstrating that:
    • You are not admitted to UBC; or
    • You have a substantiated medical condition preventing University attendance; or
    • The University has cancelled your courses

The UBC Food Services meal plan refund policy is provided in section 4.0 of the Residence Contract.

Term One Session

To cancel the Contract prior to the Move-In Date noted on your Residence Acceptance Confirmation you are required to give written notice of cancellation online or to the Department of Student Housing and Hospitality Services, 2205 Lower Mall, Building 6 by the applicable dates outlined below. Residence fee refunds will be based on the refund and forfeiture policies outlined below.

    • The University has cancelled your courses

Term Two Session

If you are registered for the Term Two Session only:

  • (a) The $50 residence application fee is non-refundable.
  • (b) The $250 Lottery Selection deposit (if applicable) that has been applied to your account is not refundable after May 1, 2012.
  • (c) From November 15, 2012 until January 1, 2013 residence cancellations will be subject to an additional $300 cancellation fee. The $300 cancellation fee will only be refunded in the circumstances noted on sub-section (d).
  • (d) Criteria to qualify for the exceptions noted in (c) are as follows. Evidence acceptable to the Department of Student Housing and Hospitality Services must be provided with your written notice of cancellation and must be received at the Department of Student Housing and Hospitality Services, 2205 Lower Mall, Building 6, Vancouver BC, V6T 1Z4 by January 1, 2013 demonstrating that:
    • You are not admitted to UBC; or
    • You have a substantiated medical condition preventing University attendance; or
    • The University has cancelled your courses

Year Round Residences are: Thunderbird Residence, Marine Drive Residence (Bldg. 1, 2, 4 & 6), Fraser Hall, Green College and St. John's College.

To cancel the Contract before the Move-In Date you are required to give notice of cancellation online at https://secure.housing.ubc.ca or to Student Housing and Hospitality Services, 2205 Lower Mall, Marine Drive building 6 by the applicable dates outlined below. Residence fee refunds will be based on the refund and forfeiture policies outlined below.

Marine Drive

(a) The $50 residence application fee is non-refundable

(b) From March 15, 2013 until the day preceding the Move-In Date, residence cancellations will be subject to an $800 cancellation fee. The cancellation fee will be refunded in the circumstances noted in (c).

(c) Criteria to qualify for the exceptions noted in (b) are as follows. Evidence acceptable to Student Housing and Hospitality Services must be provided with your written notice of cancellation and must be received at Student Housing and Hospitality Services, 2205 Lower Mall, Marine Drive building 6, by the Move-In Date demonstrating that:

  • You are not admitted to UBC; or
  • You have a substantiated medical condition preventing University attendance; or
  • The University has cancelled your courses

Thunderbird

  • The $50 residence application fee is non-refundable.
  • If you cancel your Contract before the start of your Move-In date noted on the Residence Acceptance Confirmation, you will be charged for 30 days of residence fees. The daily residence fee rate is calculated by dividing the monthly residence fees by 30.
  • You may qualify for an exemption from the 30 days residence fees charge above if you can demonstrate the following:
  1. You are not admitted to UBC; or
  2. You have a substantiated medical condition preventing University attendance; or
  3. The University has cancelled your courses.
  • To qualify for an exemption, evidence acceptable to the Department of Student Housing and Hospitality Services must be provided with your written notice of cancellation and must be received at the Department of Student Housing and Hospitality Services, 2205 Lower Mall, Marine Drive Building 6, Vancouver BC, V6T 1Z4 by the Move-In Date noted on the Residence Acceptance Confirmation.

Acadia Park & U-Apts

To cancel the Contract before the Move-In Date noted on your Residence Acceptance Confirmation you are required to give written notice of cancellation online.

  • The $50 residence application fee is non-refundable.
  • (a) If you cancel fewer than 45 days previous to the Move-In Date noted on your Residence Acceptance Confirmation, you will forfeit your security deposit.
  • (b) Criteria to be excepted from this forfeiture referenced in (a) is as follows. Evidence acceptable to the Department of Student Housing & Hospitality Services must be provided with your written notice of cancellation and must be received at the Department of Student Housing & Hospitality Services, 2205 Lower Mall, Marine Drive Building 6, Vancouver BC, V6T 1Z4 prior to the Move-In Date noted on your Residence Acceptance Confirmation, demonstrating that:
    1. You are not admitted to UBC; or you (faculty/staff) are no longer employed full-time by UBC
    2. You have a substantiated medical condition preventing University attendance; or
    3. The University has cancelled your courses.

Green College & St. John's College

  • From July 1, 2012 until the day preceeding the Move-In Date noted on the Residence Acceptance Confirmation, residence cancellations will be subject to an $800 cancellation fee.
  • A refund of the $800 cancellation fee will only be considered if the following criteria are met. Evidence acceptable to the Department of Student Housing and Hospitality Services must be provided with your written notice of cancellation and must be received at the Department of Student Housing and Hospitality Services, 2205 Lower Mall, Marine Drive Building 6, Vancouver BC, V6T 1Z4 by the Move-in Date noted on the Residence Acceptance Confirmation demonstrating that:
    • You are not admitted to UBC; or
    • You have a substantiated medical condition preventing University attendance; or
    • The University has cancelled your courses

Fraser Hall

(a) The $50 residence application fee is non-refundable

(b) From March 15, 2013 until the day preceding the Move-In Date,residence cancellations will be subject to an $800 cancellation fee. The cancellation fee will be refunded in the circumstances noted in (c).

(c) Criteria to qualify for the exceptions noted in (b) are as follows. Evidence acceptable to Student Housing and Hospitality Services must be provided with your written notice of cancellation and must be received at Student Housing and Hospitality Services, 2205 Lower Mall, Marine Drive building 6, by the Move-In Date demonstrating that:

  • You are not admitted to UBC; or
  • You have a substantiated medical condition preventing University attendance; or
  • The University has cancelled your courses

For summer and summer staythrough housing, you are required to give written cancellation notice to UBC Student Housing & Hospitality Services. Please note that:

The $50 residence application fee is non-refundable. If we receive written notice of cancellation 22 days prior to the move-in date shown on your residence acceptance confirmation, your residence fee payments will be refunded. If we receive written notice of cancellation within 21 days of the move-in date shown on your residence acceptance confirmation, a $150 cancellation fee will be assessed. After the move-in date, 30 days notice is required to cancel your summer contract.

Please refer to your Residence Contract for cancellation after move-in date.

Refunds are processed by the same method the payment was made (i.e. : payments made by credit card are refunded to the credit card)
